Taking Control of Your Digital Life: Where to Start?

Every day, we generate an astonishing amount of digital data. Photos, videos, administrative documents, study materials, emails, conversations, web bookmarks, and social media posts all leave behind a growing digital footprint.

Yet very few people have ever been taught how to manage their digital belongings thoughtfully. We learn how to organize paperwork, recycle waste, and maintain our homes. But who teaches us how to sort, back up, and protect our digital assets?

This question is far from trivial. Behind every stored photo, saved file, or sent email lie issues of privacy, security, cost, and even environmental impact.

Fortunately, a variety of tools now exist to help us regain control over our digital lives. To better understand good digital practices, we spoke with a technology enthusiast who preferred to remain anonymous.

Methodology: The information presented in this article was gathered through interviews with a digital technology enthusiast and supplemented by consulting the official documentation of the services mentioned.

1. Are there services that promote good digital hygiene?

Yes, but they do not all serve the same purpose.

Nextcloud

Nextcloud is an open-source platform designed to store, synchronize, and share files while giving users greater control over their data (1,2). It places a strong emphasis on privacy, data ownership, and self-hosting possibilities.

Cozy Cloud (Twake Workplace)

Cozy Cloud, now integrated into Twake Workplace, provides a personal digital space designed to centralize documents, notes, passwords, and important information. The platform highlights privacy protection, GDPR compliance, and data hosting in France (3,4).

BlueMind

BlueMind is a collaborative platform focused on email, calendars, and contacts. Developed in France and released as open-source software, it presents itself as a European alternative in the field of collaborative communication (5,6).

Our Opinion

These tools are not really competitors:

• Nextcloud: file storage and sharing;

• Twake/Cozy: personal data management;

• BlueMind: email, calendars, and collaboration.

Depending on your needs, they can even complement one another.

For most individuals, yes.

Running and maintaining a personal server requires time, technical knowledge, regular updates, and backup management.

Using a specialized hosting provider often makes deployment easier while still giving users significant control over their data (1,2).

Hosting companies such as Infomaniak, O2Switch, or Ikoula offer services that can support this type of setup. Before choosing a provider, consider asking the following questions:

• Where will my data be hosted?

• Are backups included?

• Is the privacy policy clearly explained?

• Will the pricing remain reasonable as my needs grow?

• Can I easily retrieve my data if I decide to leave?

The goal is not necessarily to find the perfect service, but rather one that is transparent, reliable, and suited to your actual needs.

Encryption is the process of making a message unreadable to anyone other than its intended recipient.

Without encryption, an email passes through several servers before reaching its destination. Using tools such as GnuPG (GPG), the content of the message is transformed so that only someone with the correct decryption key can read it (7,8).

A simple comparison:

• A postcard can be read by anyone who handles it.

• A letter locked inside a secure box can only be opened by the intended recipient.

Encryption is not a complete security solution, but it adds an important layer of protection that helps preserve privacy and reduces the risk of interception or surveillance (7,8).

Yes.

The Email Self-Defense guide, published by the Free Software Foundation, was designed for people who want to learn email encryption without requiring advanced technical skills (7,8).

It explains the fundamentals of encryption, guides users through installing the necessary tools, and includes practical exercises to verify that everything works correctly.

The Free Software Foundation also emphasizes that encryption protects not only your own privacy but also the privacy of the people with whom you communicate (7,8,9).

Although some steps may require a little patience, the guide remains one of the best free introductions available for understanding and implementing email encryption (7,8,9).Before choosing a service or a software solution, a few simple habits can make a significant difference:

• regularly delete files you no longer need;

• keep at least one independent backup;

• use unique passwords;

• enable two-factor authentication whenever possible;

• organize documents from the moment they are created;

• think carefully before sharing personal information online.

Good digital hygiene is not about keeping everything forever. It is about consciously deciding what deserves to be stored, protected, and passed on.

Just like a library or a home, a little organization today can prevent a great deal of clutter tomorrow.
